Prompts - Creating Prompts

Step-by-step guide to creating effective monitoring prompts

Prerequisites

  • Brand profile created and configured
  • Brand aliases set up
  • Understanding of your monitoring goals

Creating Your First Prompt

Navigate to Prompts

  1. Click Prompts in the main navigation
  2. Click "Create Prompt" or "+ New Prompt" button
  3. The prompt creation form will open

Fill in Prompt Details

1. Prompt Content (Required)

Enter the query you want to monitor:

Good examples:

  • "What are the best CRM tools for small businesses?"
  • "How to choose an email marketing platform"
  • "Salesforce vs HubSpot comparison 2025"

Tips:

  • Write natural questions as users would ask them
  • Be specific enough to get relevant results
  • Match actual search intent
  • Keep under 200 characters for best results

2. Select AI Providers (Required)

Choose which platforms to query:

  • ChatGPT (GPT-4) - Most popular, broad coverage
  • Perplexity - Research-focused, cited sources
  • Claude - Detailed, nuanced responses
  • Gemini - Google's AI, web-integrated

Cost consideration: Each provider selected = 1x multiplier on credit usage

Recommendation:

  • Start with 1-2 providers
  • Add more as you validate value

3. Geographic Locations

Select where the prompt should execute from:

  • Global (default) - Non-localized results
  • United States - US-specific results
  • United Kingdom - UK-specific results
  • Canada - Canadian results
  • Australia - Australian results
  • And more...

Cost consideration: Each geo-location = 1x multiplier on credit usage

Example credit calculation:

  • 2 providers × 3 geo-locations = 6 credits per run
  • Daily frequency = 6 × 30 = 180 credits/month

4. Execution Frequency (Required)

Choose how often the prompt runs:

  • Daily - Every day (recommended for high-priority)
  • Every Other Day - Alternating days
  • Weekly - Once per week
  • Biweekly - Every two weeks
  • Monthly - Once per month

The system automatically schedules the next run

5. Additional Settings (Optional)

Category: Organize prompts by topic:

  • Brand Awareness
  • Competitor Analysis
  • Product Features
  • Industry Trends
  • Custom categories

Tags: Add keywords for filtering:

  • industry, competitor-name, campaign-name
  • product-feature, seasonal, high-priority

Language: Default is English (EN), more languages coming soon

6. Prompt Intent (Optional)

Help categorize the query type:

  • Informational - Seeking knowledge
  • Navigational - Looking for specific brand/site
  • Transactional - Ready to take action
  • Commercial - Researching before purchase

Save and Execute Options

Save as Draft

  • Saves the prompt without scheduling
  • Can be edited before activation
  • Useful for planning and review

  • Saves and activates the prompt
  • Automatically calculates next run time
  • Begins monitoring on schedule

Save and Run Now

  • Saves the prompt
  • Executes immediately (manual run)
  • Then schedules for future runs
  • Great for testing detection

After Creation

Verify Settings

Review the prompt card to confirm:

  • ✅ Providers selected match intent
  • ✅ Geo-locations are appropriate
  • ✅ Frequency matches priority
  • ✅ Next run time is scheduled
  • ✅ Status shows "Active"

First Run Results

After the first execution (manual or scheduled):

  1. Check the dashboard for results
  2. Verify brand detection is working

  4. Check source citations
  5. Adjust aliases if needed

Prompt Management

Editing Prompts

  1. Navigate to the prompt in your list
  2. Click the "Edit" button or prompt title
  3. Modify any settings
  4. Save changes

Note: Editing resets the next run schedule

Running Manually

Execute any prompt on-demand:

  1. Find the prompt in your list
  2. Click "Run Now" button
  3. Wait for execution to complete
  4. View results in dashboard

Credit usage: Consumes credits based on providers × geo-locations

Pausing Prompts

Temporarily stop a prompt:

  1. Toggle the "Active" switch to OFF
  2. Prompt won't run on schedule
  3. Toggle back ON to resume

Use case: Pause during low-activity periods to save credits

Deleting Prompts

Remove a prompt permanently:

  1. Click the "Delete" or trash icon
  2. Confirm deletion
  3. Historical data is preserved but no new runs occur

Common Patterns

Starting Template

Brand awareness tracking:

Prompt: "What are the top [category] tools in 2025?"
Providers: ChatGPT, Perplexity
Geo: Global
Frequency: Weekly

Competitive monitoring:

Prompt: "[Your Brand] vs [Competitor] comparison"
Providers: ChatGPT, Perplexity, Claude
Geo: United States
Frequency: Daily

Feature discovery:

Prompt: "How to [solve problem] with [your category]"
Providers: ChatGPT
Geo: Global
Frequency: Monthly

Troubleshooting

Brand Not Detected

Issue: Prompt runs but brand not found in results

Solutions:

  1. Add more brand aliases
  2. Try more specific prompts where you should appear
  3. Check if prompt is relevant to your brand
  4. Review actual AI responses for context

High Credit Usage

Issue: Running out of credits quickly

Solutions:

  1. Reduce number of providers (start with 1-2)
  2. Use Global geo instead of multiple regions
  3. Decrease frequency (weekly instead of daily)
  4. Pause low-performing prompts
  5. Use prompt groups to batch execution

Prompt Not Running

Issue: Scheduled prompt isn't executing

Solutions:

  1. Verify prompt is set to "Active"
  2. Check nextRun time hasn't passed
  3. Ensure organization has available credits
  4. Check for system alerts or notifications

Inconsistent Results

Issue: Same prompt gives different results

Solutions:

  1. This is normal - AI responses vary
  2. Look at trends over time, not individual runs
  3. AI platforms update their models
  4. Results reflect real-time web changes

Best Practices

Prompt Writing

Do:

  • Write clear, natural questions
  • Match real user intent
  • Be specific about what you're asking
  • Test variations to find what works

Don't:

  • Use promotional language
  • Write overly generic queries
  • Create prompts where you shouldn't appear
  • Duplicate similar prompts

Resource Management

Do:

  • Start with essential prompts only
  • Monitor credit usage regularly
  • Adjust frequency based on value
  • Archive old or low-value prompts

Don't:

  • Create too many prompts initially
  • Run all prompts daily
  • Ignore credit consumption
  • Keep irrelevant prompts active
