Complete guide to creating, organizing, and managing prompt groups

Creating a Prompt Group

Navigate to Prompt Groups

  1. Click Prompt Groups in the main navigation
  2. Click "Create Group" or "+ New Group" button
  3. The group creation form opens

Configure Group Settings

Group Name (Required)

  • Clear, descriptive name
  • Examples: "Q1 Campaign", "Competitor Set", "Holiday 2025"

Description (Optional)

  • Purpose and context
  • What prompts belong here
  • When to use this group

Frequency (Required)

  • Daily - Every day
  • Weekly - Once per week
  • Biweekly - Every two weeks
  • Monthly - Once per month

Status (Required)

  • Active - Group will execute on schedule
  • Inactive - Group paused, won't execute

Save the Group

Click "Create Group" to save your configuration

Adding Prompts to Groups

Method 1: From Group Page

  1. Open the prompt group
  2. Click "Add Prompts" button
  3. Select prompts from the list
  4. Click "Add Selected"

Tips:

  • Use filters to find relevant prompts
  • Select multiple prompts at once
  • Preview prompt details before adding

Method 2: From Prompt Edit Page

  1. Edit an individual prompt
  2. Find the "Prompt Groups" section
  3. Select which groups to add it to
  4. Save the prompt

Benefits:

  • Add prompt to multiple groups
  • Manage group membership per prompt
  • Quick group assignment

Method 3: Bulk Add

  1. Go to Prompts page
  2. Select multiple prompts (checkboxes)
  3. Click "Add to Group" action
  4. Choose target group
  5. Confirm addition

Use case: Quickly group existing prompts by theme

Managing Group Membership

View Group Members

From the group detail page:

  • See all prompts in the group
  • View prompt details inline
  • Check execution status
  • Sort and filter members

Remove Prompts from Group

Individual removal:

  1. Open the group
  2. Find the prompt
  3. Click "Remove" or trash icon
  4. Confirm removal

Bulk removal:

  1. Select multiple prompts
  2. Click "Remove from Group"
  3. Confirm

Note: Removing from group doesn't delete the prompt

Reorganize Groups

Move prompts between groups:

  1. Remove from current group
  2. Add to new group

Or:

  1. Edit the prompt
  2. Update group memberships
  3. Save changes

Executing Prompt Groups

Scheduled Execution

Groups execute automatically based on frequency:

  • System checks for due groups
  • Executes all prompts in the group
  • Updates next run time
  • Records results

View next execution:

  • Check "Next Run" on group card
  • See countdown or timestamp
  • Sort groups by next run

Manual Execution

Run a group immediately:

  1. Open the group
  2. Click "Run Group Now"
  3. Confirm execution
  4. Wait for completion

Credit usage: Consumes credits for all prompts in group

Use cases:

  • Test new group configuration
  • Get immediate insights
  • Verify group setup
  • Emergency monitoring

Editing Groups

Update Group Settings

  1. Open the group
  2. Click "Edit" or settings icon
  3. Modify any settings:
    • Name
    • Description
    • Frequency
    • Status
  4. Save changes

Note: Changing frequency resets the next run schedule

Bulk Edit Group Prompts

Change frequency for all:

  1. Edit group frequency
  2. Affects all member prompts during group runs

Update providers:

  • Edit individual prompts
  • Group doesn't control provider settings

Adjust geo-locations:

  • Edit individual prompts
  • Group doesn't override geo settings

Pausing and Activating

Pause a Group

Temporarily stop all group executions:

  1. Toggle group status to "Inactive"
  2. No scheduled runs will occur
  3. Prompts retain their membership
  4. Can be reactivated anytime

Use cases:

  • Campaign ended
  • Off-season monitoring
  • Budget constraints
  • Testing period over

Reactivate a Group

Resume group executions:

  1. Toggle group status to "Active"
  2. System recalculates next run
  3. Scheduled executions resume
  4. All member prompts included

Deleting Groups

Delete a Group

Permanently remove the group:

  1. Open the group
  2. Click "Delete" button
  3. Confirm deletion

What happens:

  • Group is deleted
  • Member prompts are NOT deleted
  • Prompts return to individual schedules
  • Historical data preserved

Cannot be undone

Monitoring Group Performance

Group Analytics

View consolidated metrics:

  • Total prompts in group
  • Successful vs failed runs
  • Average detection rate
  • Credit consumption
  • Next scheduled run

Individual Prompt Performance

Within a group:

  • View per-prompt metrics
  • Identify underperformers
  • Compare related prompts
  • Optimize group composition

Execution History

Review past group runs:

  • See all historical executions
  • Check success/failure status
  • View run durations
  • Identify patterns

Group Not Executing

Possible causes:

  1. Group set to inactive
  2. No prompts in group
  3. Out of credits
  4. All member prompts inactive

  • Verify group status is active
  • Check group has prompts
  • Confirm credit availability
  • Ensure prompts are active

Inconsistent Results

Why results vary:

  • Different prompts have different providers
  • Geo-locations vary per prompt
  • AI responses naturally vary
  • Some prompts may fail while others succeed

This is normal: Review trends over time

High Credit Usage

Group consuming too many credits:

  1. Check number of prompts in group
  2. Review providers per prompt (1-4x multiplier)
  3. Check geo-locations per prompt (1-5x multiplier)
  4. Calculate: Prompts × Providers × Geos × Frequency

Optimize:

  • Reduce group frequency
